The Opportunity

We are seeking an organised, detail-oriented and reliable Accounts Administrator to join the Ascot Park Hotel team.

You will support the hotel's day-to-day financial administration, including accounts payable and receivable, revenue reconciliation, weekly payroll administration and coordinating purchasing requirements for hotel departments.

Working with department heads, hotel management and ILT Head Office, you will maintain financial controls, follow procedures and provide timely, accurate information.

  • Liaising with suppliers and department heads to resolve invoice discrepancies, assisting with supplier statement reconciliations and maintaining supplier records.
  • Managing accounts receivable, including raising invoices, allocating payments, monitoring debts, following up overdue accounts and resolving queries.
  • Reconciling daily and weekly revenue across accommodation, food and beverage, functions and events, investigating discrepancies and completing daily banking reconciliations.
  • Ensuring refunds, adjustments and other financial transactions are appropriately documented and authorised, and maintaining financial controls.
  • Processing weekly payroll entries, checking timesheets and payroll information with department heads, and presenting completed payroll information to the Executive Assistant Manager or Executive Manager for review and approval before advising Head Office that payroll is ready.
  • Coordinating approved purchasing for hotel departments, including quotations and purchase orders. Kitchen purchasing is managed by the Chef.
  • Maintaining accurate, confidential financial, supplier, debtor and payroll records and complying with hotel procedures.
  • Working with department heads and management, providing financial administration support and assisting other departments where possible.

About You

You are methodical, proactive and take pride in getting the details right. You are comfortable managing accounting processes, working with different departments and meeting deadlines.

You will ideally bring:

  • Experience in accounts payable, accounts receivable and general accounting.
  • An understanding of reconciliations, debtor management and routine financial reporting.
  • Strong numerical skills and attention to detail.
  • Previous experience in a similar role with Hotel PMS system, preferably Opera or similar but not essential.
  • Good computer skills, including spreadsheets and accounting systems.
  • Strong organisation and time management, with the ability to manage competing priorities.
  • Knowledge of New Zealand payroll administration requirements.
  • Professional communication skills and confidence liaising with department heads, suppliers and customers.
  • A practical, solutions-focused approach to investigating discrepancies and resolving queries.
  • Integrity and the ability to handle confidential financial and employee information.
  • The ability to work independently and contribute positively to a team.

Hotel or hospitality experience, and familiarity with property management and point-of-sale systems, would be an advantage.
